    Executive Assistant, Vice President Principal Gifts & Strategic Initiates
     
    Overview:
    The executive assistant will serve as a member of the principal gifts & strategic initiatives team at URI Foundation & Alumni Engagement (URIFAE) and will report to the Vice president of principal gifts & strategic initiatives.
     
    Responsibilities

    • Provide support for the principal gifts’ unit, including schedule and maintain the calendar of appointments and travel, answer telephone calls, manage donor contact reports, complete monthly expense reports, and assist with principal gift focused events.
    • Assist with various aspects of the development process, including assisting with planning and executing cultivation activities and events, proposal development, and impact reporting.
    • Attend meetings with the vice president of principal gifts to capture and disseminate information.
    • Oversee the coordination of strategy sessions for principal gift level prospects by scheduling regular meetings with development officers and the principal gift & strategic initiatives team and documenting strategies.
    • Serve as a member of the team for the Women’s Leadership and Philanthropy Initiative. Manage the process of welcoming women into the Women’s Philanthropy Circle, assist in planning events, and work with communications and marketing to develop materials.
    • Research, prepare, and design reports by collecting and analyzing information.
    • Edit and proofread documents and reports to ensure accuracy.
    • Manage the process of developing event and visit strategy briefings, call sheets, and travel itineraries, and assist with the coordination of presidential travel.
    • When needed, assist the administrative support team with tasks that support URIFAE, including but not limited to coordinating mailings and mail merges, ordering office supplies, and opening and distributing daily mail.
     
    Qualifications           
    • Minimum of five years of prior administrative experience, preferably in a fundraising, development, or advancement office.
    • High proficiency in Microsoft Office (Word; Excel; PowerPoint).
    • High level of aptitude in calendar management.
    • Ability to work calmly and effectively, and prioritize assignments in a fast-paced, high production environment.
    • Ability to meet deadlines while managing multiple projects.
    • Must be detailed-oriented, flexible, and proactive—with a willingness to address needs as they arise.
    • Excellent interpersonal and communication skills, both verbal and written, and expected to maintain the highest level of confidentiality, discretion, and professionalism.
    • Ability to represent the URIFAE with external stakeholders and work effectively with colleagues at every level including the president, members of the Board and Trustees.
    • Occasional nights/weekends for select events will be required.
    • Expected to work with limited supervision, to communicate status of projects, and to identify problems and seek guidance in resolution from supervisors.

    Education/Experience
    • A bachelor’s degree preferred or equivalent combination of education and experience similar to the duties described above.
